Position: Senior Project Administrator – CAPEX Pharmaceutical Projects

Location: Fully Remote

Open Positions: 1-3

Duration: 6+ months (possible extension to 12 Months)

Hours per week: 40

Start Date: Aug 18th or 25th

Role Summary

  • We are seeking experienced Senior Project Administrators to support a large-scale CAPEX program for a new pharmaceutical manufacturing facility. These fully remote roles will provide high-level administrative and coordination support to project managers, engineering leads, and other senior stakeholders during the design and execution phases of a major capital investment initiative.
  • Ideal candidates will bring a minimum of 10 years of experience supporting complex capital projects within the pharmaceutical, biotech, or regulated industries, and possess the organizational and communication skills required to manage documentation, scheduling, and cross-functional coordination in a fast-paced, technically driven environment.

 

Key Responsibilities

  • Provide comprehensive administrative support across multiple capital project workstreams, focusing on project documentation control, action tracking, and milestone monitoring.
  • Maintain and organize project files including design documentation, meeting notes, action logs, vendor submittals, and schedule trackers.
  • Assist with the coordination of project team meetings, technical reviews, and stakeholder communications.
  • Track deliverables, approvals, and deadlines using tools such as Smartsheet, SharePoint, Excel, and MS Teams.
  • Support the development and ongoing maintenance of project dashboards, timelines, and reporting tools.
  • Collaborate with senior engineering, procurement, and quality teams to ensure effective workflow and timely information flow.
  • Act as a communication hub between internal stakeholders and external consultants, design firms, and vendors.

 

Required Qualifications

  • Minimum 10 years of experience in a project administration or coordination role, with significant exposure to capital project environments.
  • Strong understanding of CAPEX workflows, particularly within GMP-regulated industries such as pharmaceutical or biotech.
  • Advanced proficiency in Microsoft Office, Smartsheet, SharePoint, and other project collaboration tools.
  • Proven ability to manage and track high volumes of documentation in a structured and organized manner.
  • Excellent communication and interpersonal skills; confident working with engineering, quality, and construction leadership.
  • Self-directed, proactive, and able to thrive in a fully remote, fast-paced project setting.

 

Preferred Qualifications

  • Prior involvement in the design and construction of pharmaceutical manufacturing sites, including greenfield or expansion projects.
  • Familiarity with engineering documentation such as P&IDs, URS, and design packages.
  • Background in coordinating across multidisciplinary project teams (engineering, QA, validation, construction).
